The meeting opened at 5:25 P.M. with Rev Humke giving a prayer.

A written report was given by Susan Baker. A discussion ensued about establishing a stronger volunteer system as well as continuing review of staff roles.

Harvey Turner reviewed the current state of the Rector Transition Fund: $37,000 of $110,000 goal. Does the congregation have an understanding of the basis for this need?

Approval of Financial Report (Hendon, Cary)

Jamie Hendon gave a "heads up" on a mailing that the vestry will receive with regards a structure of the Renovation Loan repayment to the Endowment Fund.

A review of the latest meeting of the Stewardship Committee and their plan for this year Every Member Canvas which would run from October 13, 2002 thru November 3, 2002. The latter date will be the occasion of an Appreciation Sunday combined with Time and Talent event.

Ruth reemphasized the need for strong Vestry support - from pledging to canvasser contacts.

Ginger Grizzle then reviewed the Education piece that is being written and will be shared with the congregation. It will include hard numbers with regard to the 2002 budget.

It was decided to delay publication until a little further along the completion of the Rector Transition Fund.

Dorn Crawford brought to the Vestry's attention to the need to undertake a major project: plastering certain areas of the church which would entail repainting the interior of the Church. Plans to follow.

Bill Crawford reviewed some comments made by Rev. Dan McKee after his visit. Bill suggested that an insert from the Search Committee be placed in each Sunday's bulletin. We also need to fuel participation of the Vestry in the Rector Transition Fund.

At this juncture the Vestry transformed itself to being the Search Committee:

• We need to develop a clearer process for vestry input after potential candidates visit (vestry members received an email soliciting input after the first potential's visit, but not after the second)
• It is critical that the sequence of events in the search process be clear: steps in order of occurrence that have been agreed to thus far are 1) nomination, 2) notification of diocesan office of nomination, 3) sending of "you have been nominated/are you interested" letter, 4) follow up phone call in several days (if no immediate response) to assure that candidate received letter, 5) sending of "candidate packet"
• We need to separate regular vestry meeting business from the search process business
• We decided to meet briefly each Sunday during/after the Hospitality Hour to get updated info on candidates and to receive copies of candidate's response materials (candidate profile, essay, etc.)
• We need to update the Calvary Parish Profile 2000 (The Calvary Family) by adding material to the insert pocket in the back of the document; Art Dietz agreed to compose a draft of the insert material and will circulate the draft via email.
• Some vestry members expressed concern that, during our meetings with the two potential candidates we have met thus far, we may have been too openly negative about some of our experiences with Polk and that it would be helpful to temper our discussion of this topic; Father Humke suggested that it would be helpful if we focused instead on the fact that we are in a stable interim period now and are eager to move ahead
• Vestry members are to be notified via email as each step in the search process is carried out to assure optimum communication among everyone
• Dorn Crawford and Will Cary will revise the "you have been nominated/are you interested" letter to candidates as well as the Search Committee Process sheet and will circulate both via email
