 Calvary Vestry Meeting Minutes

November 18, 2003 – 5:15 PM

Call to Order and Opening Prayer

The vestry meeting was called to order at 5:17 PM by Senior Warden Will Cary and the opening prayer was offered by Fr. Humke.

 

Approval of Minutes of October 21, 2003 Vestry Meeting

The minutes of the October 21, 2003 vestry meeting were approved as written (motion Lyndrup, Warner second).

 

Vestry Committee Reports

·         Budget and Finance – Chair Harvey Turner thoroughly reviewed the revised report reflecting the analysis of revenues and expenses. He and committee member Sally Reisz are continuing their work with our bookkeeper and accountant to put into place a more “user-friendly” process and an understandable monthly report which gives a clearer picture of the church’s financial situation. Motion was made and approved (motion Warner, second Dietz) to accept the 2003 Calvary budget.  Motion was made and approved (motion Warner, second Lyndrup) to accept the November 2003 financial report.

 

·         Personnel, Planning and Volunteers – Sandra Cherry, Chair, reported that we will wait until  the new rector comes to implement the suggestion that name tags be worn at Coffee Hour after the 11:00 AM Sunday service. The name tags (stick-on type) have already been purchased.  Sandra has received the information from the Time and Talent brochures which parishioners recently completed and she will be working on updating the volunteer lists to be given to the various committee chairs.

 

·         Building and Grounds  – Senior Warden Will Cary reported that the recent repairs to Calvary’s roof amounted to only $15,588, which is $5,000 less than the low end of the bid we received.  The contractor also supplied us with a detailed set of digital photos of the roof and the completed repairs. The Senior Warden  reported in addition that the downstairs Library restroom had been repaired.  Gail Richardson noted that there is a problem in the Godly Play room with rain and debris getting in through windows needing repair. Clyde Warner pointed out that he has noticed a similar problem with a number of other windows in the church building.  The planned plaster repairs to the interior were discussed.  The tuck-pointing work on the exterior of the building has not yet been scheduled.

 

·         Stewardship – Michele Wogaman, Committee Chair, reviewed data regarding the EMC campaign.  As of  November 18, 2003, we have received 111 pledges, amounting to $205, 901. While there are 260 household on Calvary’s rolls, only 149 of them are actually “active” and 49 of these “active” households have yet to pledge for 2004.  Thankfully, eleven new pledges have come in. The average pledge for 2003 was $1543 and, so far, the average pledge for 2004 is $1855, representing an 18% increase per “pledging unit”.  A non-pledge-related letter will also be going out to persons who have stopped coming to church, letting them know what’s going on at Calvary and inviting them back.

 

Junior Warden’s Report/Search Committee Report

Junior Warden Art Dietz combined his report with the final Search Committee report. The Search Committee’s work, outlined in detail, led to a successful outcome with the calling of Fr. Marc Vance to be Calvary’s next rector.  The Junior Warden also raised the issue of finding individuals from within Calvary’s congregation who would be willing to stand as candidates for various diocesan offices and asked the vestry to make suggestions to him regarding potential nominees.

 

Senior Warden’s Report

The Senior Warden discussed the rector’s moving expenses as outlined in the Letter of Agreement with Fr. Vance and discussed the Vances’ progress thus far in locating a home in the Louisville area.  Motion was made and approved (motion Dietz, second Reisz) to give the Vance family a welcome gift of $1500. Currently, the plans are for Fr. Vance to go on salary January 1, 2004, and for there to be a transition period between Interim Rector Richard Humke and Fr. Vance, to allow the new rector a period of time for necessary “settling in”.  The specifics of such a transition period are to be worked out between Fr. Humke and Fr. Vance.

Old Business

Clyde Warner reported that the Vestry Nominating Committee is moving forward with its work of identifying individuals willing to run for the vestry in 2004.  The committee expects to have a slate developed soon and hopes to have the candidates’ bios included in the next issue of the Calvary Connection.

 

The vestry was also reminded that the date for the 2004 Vestry overnight at All Saints Conference Center is February 20, 2004. 

 

New Business

·         The Senior Warden suggested that a reception honoring Interim Rector Fr. Richard Humke be held following the service on January 18, 2004, the date of Calvary’s Annual Meeting, and the vestry concurred.

·         The Senior Warden also volunteered to host a gathering at his home for both the Humkes and the Vances. Guests would include the members of the search committee and the vestry.  Possible dates are Friday, January 9 or Saturday, January 10, but a definite date will depend on when the Vances are able to relocate and get settled.

·         Discussion and decision-making on the allocation of outreach funds designated in the church budget were tabled until the next vestry meeting.

 

Closing Prayer and Adjournment

At 7:20 PM, the vestry meeting was adjourned with prayer by Senior Warden Cary.
