Absent: Laina Brown, Elyse Hensley, Mary Sachs.

 

Opening Prayer

The meeting was called to order at 5:15 p.m.; Fr. Morris offered a meditation and prayer.

 

Minutes of July meeting

Sally Reisz moved the approval of the July 17, 2005, minutes of the vestry; seconded by Downey Gray. Motion carried.

 

Committee Reports

Finance:

Andrea Morris presented the financial statements through July, 2005. It was pointed out that the entry for 5120 (Clergy Continuing Education) is incorrect and that adjustments were being made to move monies given by the Diocese to Rev. Lee for Seminary Support. Downey Gray moved that the report be accepted; Nick Baker seconded. Motion carried.

 

Sally Reisz noted that the next meeting of the Finance Committee is scheduled for September 8. At that time a draft budget for next year will be discussed and readied for Vestry approval.

 

Stewardship:

     Downey Gray announced that the kickoff for the next Stewardship Campaign is planned for October. Fr. Morris noted that John Bugbee, Campaign Chair, is putting together a model approach to the campaign for the next meeting of the Finance Committee.      

 

Worship:

Jonathan Smith drew the vestry’s attention to the August written staff report for Music. Fr. Morris reiterated that anyone having ideas for the 9:15 service and/or the outdoor Eucharist/Blessing of the Animals service on October 2 should contact him or a member of the Worship Committee as soon as possible. He reminded the vestry that September 11 is the last Sunday of the summer service schedule and that a congregational picnic will be held in the courtyard after the 10:30 service. Services beginning September 18 will be at 8, 9:15 and 11. A discussion followed regarding the Rector’s desires as to when the congregation sits or stands for the Prayers of the People and during the Consecration and Words of Institution. Fr. Ned deferred to the rubrics, but said that otherwise he does not want to dictate this response. The Worship Committee will take up the matter and a more instructive service bulletin may be the answer.

 

Christian Formation:

David Stewart drew the vestry’s attention to the August written staff report for

Christian Formation. Registration for the Fall youth program is September 11with September 18 as the first day of classes.

 

Building, House and Grounds:

Jerry Lyndrup presented a written report (attached hereto as a part of these minutes) of major and general maintenance projects. He and Nancy Anderson noted that two of the more major projects, plastering and painting of the Nave and Choir/Chancel areas, will have an impact on the location of the worship service during those activities. Anyone with ideas regarding same should contact Fr. Morris or a member of the Worship Committee.

 

Outreach:

Jim Barnes drew the vestry’s attention to the August written staff report for Outreach and reported that the Outreach Committee will be visiting area agency grantees soon. Jerry Lyndrup reported that September 22 and 23 are the dates scheduled for the “Raise the Roof” activity of this year’s Habitat for Humanity house.

 

Communication:

Meg Scharre drew the vestry’s attention to the August written staff report for Communication especially pointing out the Connection Deadline of September 4. She also reported that the logo is ready and will appear on the next Connection.

 

Parish Life:

Sandra Cherry reported that the softball picnic has been cancelled due to lack of interest; however, the Calvary at the Bats activity is still on. Downey Gray has tickets for those interested. Signup/appointments for picture-taking for the pictorial directory are underway. The pictures will be taken September 26-28. The annual Parish Picnic is scheduled for October 16 at the home of Carl and Ginger Ray.

 

   By-Laws/Legal:

Nick Baker reported that he has spoken with the church liability insurance underwriter regarding the purchase of a defibrillator for use at Calvary. The underwriter strongly discouraged such a purchase. Calvary Church would be covered, but the individual using the devise would not. Additionally, there are many other considerations involved. Nick noted that the subject, therefore, is no longer a viable one. Nick further reported that our liability coverage in cases of special events such as the yard sale is satisfactory. The underwriter is mainly concerned with youth-oriented motoring trips, white water rafting trips, etc. and should be contacted prior to planning any such events. Nick also reported that the insurance on the Fine Arts at Calvary has been increased to one million dollar coverage.

 

Junior Warden:

Having reported elsewhere during the meeting, Downey Gray had nothing further to report at this time.

 

Senior Warden:

Sally Reisz reported that she had in hand the first check from Kroger in the Kroger Card fundraising activity. She also reported receipt of parking fees for the Third Street property which she is contributing to the fundraising account. Sally reminded the vestry that the Yard Sale is scheduled for this coming Saturday, August 20.

 

Sally moved the following charge to the 2004 Internal Audit Committee: The Vestry of Calvary Episcopal Church hereby charges the 2004 Audit Committee, appointed by the Finance Committee and comprised of Sandy Beale, Jim Hill and Suzie Egger, to conduct an audit of the 2004 finances of Calvary Episcopal Church pursuant to the “Manual of Business Methods in Church Affairs”, Chapter 6 “Audit Guidelines for Congregations” and to submit an Audit Report to the Rector, Treasure and Wardens as soon as possible but no later than November 30, 2005. Downey Gray seconded. Motion passed.

 

Sally also reminded the vestry that a “Mutual Ministry Review”, an annual discussion and mutual review of the total ministry of the parish, needs to be completed soon.

 

Deacon:

Rhonda Lee reported that she continues in her duties of pastoral care and preaching and reminded the vestry that the Thursday evening “Don’t Get Left Behind” series on the “rapture theology” begins August 25 and extends to September 22. She also reported that the Adult Forum begins on September 18 with discussions on religion and politics in ancient Israel. Rhonda also reported that she is beginning to look at lay ministry at Calvary in terms of building upon and expanding it.

Rector:

  Fr. Ned deferred his report to New Business.

 

Old Business:

  None

 

New Business:

  The Reverend Rhonda Lee was asked to leave the meeting for a presentation and discussion of the Deacon Position Description and of the Deacon Letter of Agreement to be effective June 1 to December 31, 2005. Sally Reisz moved that the Deacon Position Description be approved with grammatical emendations as noted; seconded by Downey Gray. Motion passed. Downey Gray moved that the Deacon Letter of Agreement as emended be accepted and approved, subject to the approval and signature of the Bishop; seconded by Sally Reisz. Motion passed.

 

  Fr. Ned read into the minutes the resignation of Susan Watts (attached hereto as a part of these minutes). The resignation is effective August 31, 2005. Mrs. Watts has served Calvary as Office Assistant/Bookkeeper since September 1995. The vestry reluctantly accepted the resignation and approved a Resolution of Appreciation to be written by the Secretary and attached hereto. Sally Reisz noted that the Personnel Committee (Wardens and Rector) will review the position and the needs of Calvary and begin the process of replacing Mrs. Watts. The Parish Life committee was asked to make provisions for an event honoring Mrs. Watts and Meg Scharre volunteered to obtain a suitable gift.

 

The next regularly scheduled meeting of the vestry is September 20, 5:15pm, Calvary Church with Meg Scharre officiating Compline.

 

There being no further business, the meeting was adjourned at 7:20p.m. with Compline officiated by Nancy Anderson.

RESOLUTION OF APPRECIATION

 

WHEREAS, Susan A. Watts has served Calvary Episcopal Church as Office Assistant/Bookkeeper since September 1995; and

 

WHEREAS, Susan A. Watts has provided a dedicated and valuable service to the parishioners of Calvary Episcopal Church; and,

 

WHEREAS, Susan A. Watts has resigned her position at Calvary Episcopal Church effective August 31, 2005;

 

 

NOW, THEREFORE BE IT RESOLVED that the Vestry of Calvary Episcopal Church, Episcopal Diocese of Kentucky, does hereby commend, congratulate and express the deep appreciation of its members to SUSAN A. WATTS for her years of dedication, loyalty and outstanding service to the people of Calvary Episcopal Church, Louisville, and extends its best wishes for good health and much happiness in the years to come.

 

PASSED AND ADOPTED this 16th Day of August, Two Thousand Five, by unanimous vote.

 

Staff Reports

2005 OUTREACH, MUSIC, and COMMUNICATIONS – August

 
 


                 

 

Outreach:

1. Food Donations:  This report covers the period from July 12 to August 9. During this time, we received donations of food worth $1298 . There were no large donations this time, regretfully.

 

2. Food Distribution: During July, we gave out 116 food bags that fed 184 people. That’s way up from the previous two-month stats.

 

3. Clothes Shops for Women and Kids: Thanks to clothing contributed exclusively by Calvary people, and thanks to the intense interest given to this project by our weekday volunteers, the number of people clothed at Calvary given out from July 12 – August 9 was 61. There were more women than men served, chiefly because there are more clothes for women than for men. MEN, have been good about our request to donate. We NEED MORE! Thanks to all who contributed and gave out!

 

4. Breads: Bill Garnar’s bread recipes are in the new Calvary cookbook. That’s the best we can do on breads and jellies at this time.

 

5. Book Aid: Books continue to come in, and are well cared for by David Webb, with advice from Timmons Owens.

 

6. Crisis Care  (Outreach of sorts!) Both Crisis Care chairs have had surgery, and we need volunteers to fill the gap until they are ready to return. It has been hard to find people to coordinate or take meals, and there have been needs.

 

7. The Refugees: We are, as usual, grateful to Lou and Ted Mussler for all their support and attention to the Sherifi family that will soon celebrate the 6th anniversary of arrival.

 

8. CHOICES: The Dickinsons will host a fundraiser for this group at the Bach Haus on August 14 at 4:00 p.m., giving a 45 minute organ recital. We are hoping to raise enough funds to make a substantial impact on the purchase of yet another house that will serve homeless women and children.

 

9. YARD SALE: On August 20, the Help Ministries of Central Louisville will have a Yard Sale at Calvary. Proceeds will benefit both HMCL and Calvary, to be divided 50-50. Items are being brought to Calvary at present. Huyett Hurley and Peggy Silliman and Corky Sachs and I are in charge of this event for Calvary, and we hope to raise a great deal for our Fund-Raising project. Please be thinking of items you would like to donate, for this is your last chance! Other fund-raising projects underway will be reported by that committee.

 

MUSIC:

We can’t say the music program is gearing up for the fall, because it never did slow down for the summer! We thank all who gave of themselves all summer to make sure that joyful voices were (and are being) raised to the Lord!

 

Communications: 

1.      THE CALVARY CONNECTION deadline is September 4.

2.      The copier is now in place and continues to do a wonderful job. We now can staple, do front and back, sort, and recognize the people in the pictures we reproduce! The last CONNECTION looked great, so people say.

3.      Webmaster Jim Barnes continues to do a fantastic job of updating and adding to the Calvary website. We now have Wedding Music Guidelines, Funeral Music Guidelines, Burial Forms, and Burial Ground information added to the site. As of August 9, over 12,641 visitors have logged in to our website since March 31, 2003.

Christian Formation Report to the Vestry

August 2005

 

 

The new Christian Formation year is quickly approaching.  Most classes have been assigned teachers, except for one, but hopefully by time you meet next week, this will all be finalized!  We will have the following classes:

 

Nursery

Godly Play I

Godly Play II

Intermediate

Youth

Senior High

 

Calvary's youth have been invited to a pool party along with other youth groups in the diocese on Saturday, August 20 in Oldham County.  The first meeting to plan for the Youth Group will be held on Sunday, August 21, at 9:00 a.m.

 

Teacher Orientation and Sexual Misconduct Training will be held at Calvary on Tuesday, August 23, 2005.  In September we will have the opportunity to attend training for Journey To Adulthood at St. Mark's.

 

Jerry Lyndrup has plans to add windows to all of the classroom and office doors upstairs.  Also, he is taking care of repairing plaster in Room 204 afterwhich we will be painting before classes start on 9-18. 

 

Via Media and other adult programs are scheduled for Thursday evenings and we look forward to meeting the needs of the Calvary congregation.  Look for the yearly calendar to be posted around the church.
