Calvary Episcopal Church
Vestry Minutes
July 20, 2004
![]()
Participants
Present: Nick Baker, Jim Barnes, Laina Brown, Art Dietz, Jerry
Lyndrup, Sally Reisz, Meg Scharre; The Rev. Richard Humke.
Absent:
Sandra Cherry, Elyse Hensley, Andrea
Morris, Gail Richardson, Ruth Robins, Jonathan Smith, Jeff Webb.
Art Dietz called the meeting to
order at 5:25 p.m. and Fr. Humke offered an opening prayer. There being no
quorum present, all reports were presented as information.
Sally Reisz moved that the minutes
of June 15, 2004 be accepted as written, seconded by Meg Scharre. Motion carried subject to any subsequent
objections or corrections.
Committee Reports:
Finance: The financial statements as of June 30, 2004 were presented
by Art Dietz. It was noted that the Parker Hall Endowment Fund #6 has been
closed. The monies from that fund have paid off the loan on the Parker Hall
construction ($194,736.24) and the remainder ($5,654.87) deposited in the
Calvary Endowment Fund #1. A question arose as to why the ending balances look
so good at this time of year. The question was referred to the Treasurer for
response at the next meeting.
Stewardship: No report at this time.
Liturgy/Music: Fr. Humke thanked Jim Barnes for officiating at Morning
Prayer during his vacation July 11. No other report at this time.
Worship: Jim Barnes referred the vestry to the staff report on Music
pointing out especially that the Calvary choir is one of the few church choirs,
if not the only choir, in the Diocese that continues to provide music in the
summer.
Christian Formation: The vestry was referred to the staff report on
Education.
Building, House and Grounds:
Jerry Lyndrup
presented a written report containing lists of activities completed May-June to
date, activities that are pending, and long-range major projects. A leak in the
area between the chancel and nave was reported and added to the pending list.
Sally and Jerry will develop a wish list for the Connection and the bulletin board
to solicit assistance, both physical and monetary, with the major projects as
well as the items on the pending list. Jim Barnes reported that the Greater
Bethel Temple has proposed obtaining a larger dumpster with two-day a week
collection instead of the current one-day a week collection. Presentation has
asked to again share such a dumpster. The vestry approved continued
discussions.
Outreach: Jim Barnes referred members to the Outreach section in the
written staff report with particular emphasis on the number of male clients
served last month with clothes. He also pointed out that Jean Deitz has been
doing a tremendous job with the Crisis Care program and that Lois O’Hara
continues to send written greetings to visitors who have signed the guest book.
Communication: Meg Scharre asked that the Communications item within the
written staff report be read.
Parish Life: Laina Brown reported that softball season for “The Chosen”
has come to a close and a tournament has been scheduled for July 21. She reported
that the Foyer Groups are going well. On August 3, the Parish Life committee
will meet with representatives of Olan Mills to obtain information regarding a
new pictorial directory.
Long Range Planning: No report at this time.
By-Laws: No report at this time.
Junior Warden: Sally Reisz presented a final report from the Search
Committee including an expense itemization for the search process: $7,849.02.
She reminded the vestry that this is for the search only and does not include
any costs associated with moving expenses or any other such costs. Sally also
indicated that if any program liaison needs assistance obtaining
volunteers/committee members she would be glad to help to do so.
Senior Warden: Art deferred his report to items under Old and New Business.
Old Business:
Art reported that Callie Hausman
had been asked to work on a Family weekend at All Saints. She has tentatively
earmarked September 24-26 for that purpose, the cost of which would be $80 per
person (room and meals). A scholarship program would be set up for those
financially unable to participate. It was decided that a one-night stay would
be better, particularly since September 26 is Fr. Humke’s last Sunday as sole
celebrant. Callie is to check out that possibility. Sally indicated that Clyde
Warner and Marshall Hardy have agreed to be the Audit Committee co-chairs. They
have sent an interrogatory to the vestry requesting information and
instructions. Sally said she is communicating with them. Art and Jerry
discussed the Ginger Grizzle gift to Calvary and the Habitat for Humanities
project. Jerry will work with the other member churches regarding the bequest.
New Business
Art provided to the vestry a copy
of the signed Letter of Agreement with Ned Morris. Jerry Lyndrup moved that the
Agreement be approved, Nick Baker seconded. The motion carried unanimously with
Ruth Robins voting by phone (thereby providing a quorum for this action).
Art reported that Carl and Ginger
Ray will again host the church picnic scheduled tentatively for October (to
allow the arrival and participation of the Ned Morris family).
The Morris’ will visit Louisville
August 11-13 to house hunt.
Art reminded the vestry that the
celebratory reception for Margaret and Melvin Dickinson is Sunday, July 25 after
the 10:30 service. The Hospitality Committee and the Choir are co-hosting the
event.
A coordinator of the Every Member
Canvass process was discussed and Fr. Humke will approach the parishioner
recommended. Sally announced that, in addition to Walt Morris who chairs the
Every Member Canvass Subcommittee, Whitney Hardy and Downey Gray will co-chair
the Planned Giving Subcommittee, and Deborah Stewart will chair the Time and
Talent Subcommittee. Walt Morris, of course, chairs the Stewardship Committee.
Fr. Humke will ask Ned Reiter to
chair a committee to establish a focus group in anticipation of instructions
from the Diocese regarding compliance with resolutions of Convention. Ned is
also serving as Calvary’s Diocesan Relations Committee chair.
A bill for renewal of the General
Liability Insurance from the Church Insurance group was referred to Nick Baker
and Andrea Morris for review and action.
The vestry gave heartfelt thanks to
Art and Sally for their good work in negotiating the Letter of Agreement with
Ned Morris.
The next meeting of the vestry is August
17, 2004, at 5:15 p.m. at Calvary Church.
There
being no further business the meeting was adjourned at 7:00 p.m. with closing
prayer by Fr. Humke.
Respectfully
submitted,
James M.
Barnes
Secretary
of the Vestry

STAFF REPORTS
2004 OUTREACH,
MUSIC, and COMMUNICATIONS
July Meeting
Outreach:
1. Food
Donations: This report covers the period from June 13 through July 19. The value of food donations
during this period is $4,824. Most unique gift was from General Electric, where
they had a cooking demonstration on their new stoves and gave us what they
cooked (mostly ground chuck!). Largest gift was also from GE – 3000 cans of
food they collected and Walter Morris fetched! Then, there were the 21 dozen
boxes of cereal from Meijer! We can’t complain about no food to give away this
month!
2. Food
Distribution: During June, we gave out 116 food bags that fed
190 people.
3. Clothes Shops
for Women and Kids:
Thanks to clothing contributed exclusively by Calvary people, and thanks to the
intense interest given to this project by our weekday volunteers, the number of
people clothed at Calvary continues to grow.
Since June 13, we have clothed 61 people, including 32 women, 18 men,
and 11 children. Without volunteers Carla McCarty, her friend Gary, Ned Reiter,
Larry Brown, John Cunningham, Joyce Tichenor, Bill Adams, and Lois O’Hara, this
ministry would not be half as successful. We NEED EVERYTHING, as the clothes go
out as fast (or faster) as they come in.
4. Breads: Raspberry jam has appeared three times, for
which we and our food clients are most grateful!
5. Book Aid: David Webb is now in charge of the books, and has
done a wonderful job, still assisted by Timmons Owens.
6. Crisis Care (Outreach of sorts!) Jean Dietz has been making calls to the church
most Wednesdays and then following up on those who are sick or in crisis. As
stories continue to unfold about the latest storm, we may need more attention
to those in need. Lois O’Hara also continues to write welcoming notes to those
who sign the guest book.
7. The Refugees: Sherifis, Lasus, and Lil all doing well.
8. Literacy: We still need more tutors.
MUSIC:
1.
As I read
about almost every church around having no choir for the summer, I become
increasingly grateful for the dedication of our Calvary choir members, who sing
the entire summer! Even with vacations, we have managed to field a good group.
Communications:
1. THE CALVARY CONNECTION deadline is this coming
Sunday. Those to whom the deadline pertains, PLEASE TAKE NOTE! I have received
a picture from Ned Morris of the family (posted on the bulletin board) and have
been promised an article of greeting.
2. Webmaster Jim Barnes continues to do a fantastic
job of updating and adding to the Calvary website. It is very reassuring to
know that when news breaks, Jim gets it on the web ASAP. To date, 6,701
visitors have logged in to our website since March 31, 2003. Again, thank you,
Jim!

Education Report to the Vestry
July 2004
Throughout
June and the first half of July, Gail Richardson conducted Godly Play classes
for children before the service.
During
August, David Webb, with the help of Martha Edling and Steve Shelton, will be
offering four classes for children and youth making paper for the fall Calvary
Art Exhibit.
Classes will begin on Sunday, September 12.
All Saints' Camp for Calvary will be held on Sept. 24 -26 with activities,
including storytelling and worship, for everyone. A mailing will be sent
out after plans are finalized.
Teacher recruitment is nearly complete, but having several more teachers and
another storyteller would be preferable.
Teacher training is as follows:
Godly Play workshop: Saturday, August 28 from 9:30 - 1:00 p.m.
There has been some interest from other churches to attend our training.
Upper classes: Thursday evening, Sept. 2 from 6:00 - 8:30 p.m.
Tentative
calendars are attached, but they are subject to change after reviewing with
Rev. Ned Morris.
Thank you,
Callie
