Minutes of March Meeting
Corky
Sachs moved the approval of the March 27, 2007 minutes of the Vestry; seconded
by Noel Booker. Motion carried.
Opening Prayer
The meeting was called to order at 5:10PM. Jamie
Hendon offered an opening meditation. Then the Vestry members shared why each
one chose Calvary as their church home.
Committee Reports
Finance:
Noel Booker presented the
financial statements through March 2007.

March was a “very good month for Calvary.”
·
Cash position up over same period a year ago.
·
Jim Barnes has made some very positive changes to
the format of the financial statement. He has added a new column “Year-to-day
Actual (Last Year)”.
·
Noel highlighted the pledges that came in during the
month. March total exceeded February by $23,000.
·
The check from the endowment did not arrive in time
to be included in March statement; will show receipt in April.
·
Expenses are pretty much on budget.
Gray Memorial Fund was sent up
by Downey’s grandfather in 1939. Downey confirmed that the income in excess of
$100,000 can be used without restriction.
Downey Gray moved that the
financial statements be accepted; Seconded by Corky Sachs. Motion carried.
Stewardship:
Tom Fulton discussed an idea for
Calvary’s participation with local artists to use art work to raise money.
Described how the “Heart Auction” in Memphis raised money using this vehicle.
Will have sample “templates” for the next Vestry meeting. Jamie Hendon
suggested the effort be moved into the area of Parish Life.
Larry Frederiksen noted John
Bugby’s article on Stewardship that will come out in the Connection.
Jamie Hendon detailed grant opportunity
from W.L. Lyons Foundation for Historical Preservation. Corky Sachs urged us to
find a grant writer for the effort.
Corky Sachs brought up the idea
of planned giving.
Next meeting is May 20.
Worship:
Marsha Webb noted committee did
not meet last month due to Holy Week. Pentecost is coming the last Sunday in
May. Bishop Gulick will visit Calvary Church on June 3.
The Youth Sunday Service will be
11:00AM on May 13. Mary Catherine Wright will have a presentation.
Tom Fulton had fielded a concern
from a parishioner about the use of incense. Marsha noted that Fr. Morris is
very sensitive to this and provides alternatives to services that use incense.
Christian Formation:
David Webb noted Callie
Hausman’s report. Noted that young people enjoyed going to Choices last Sunday;
this will happen again since it was so well received.
He expressed a concern that
Calvary’s Drama Camp was not being advertised well enough. Encouraged people to
include the information on their companies’ websites. Marsha Webb recommended
sending a brochure to each middle school’s drama or music clubs.
Property Committee:
Jamie Hendon, in the absence of
both Clyde Warner and Michael Hensley, noted the Property Committee Meeting
report by Clyde Warner. Michael Hensley had gone on the mission trip to
Mississippi.
Jamie noted how much better and
cleaner Calvary Church looks with the routine attentions by the Sexton.
Jamie also noted the letter he
sent thanking Richard and Judy Pease Wilson for their donation of the windows
in the social hall and kitchen.
He raised the issue of the
leaking roof but did not have any more information from Clyde.
Nancy Anderson reported that
Anita Richards is back in town and is looking for a group to take on property
housekeeping.
Next meeting is in May.
Outreach:
Nancy Anderson noted Margaret’s
report on Outreach. She presented a letter from someone who Calvary had helped
in our Outreach effort. A man who signed the letter “John” stated how grateful
he was for the help.
Jim Barnes presented a report
through Nancy from the Outreach Grants Committee. The report details the
“History of outreach grants to metropolitan area agencies.” The committee
recommended that “we allocate the monies to agencies as noted for 2007…” Corky
Sachs moved the report be accepted; Marsha seconded approval of the report.
Downey Gray moved that we
approve the Outreach Grants Committee recommendations for 2007. Marsha Webb
seconded the motion. Jamie Hendon and Tom Fulton abstained. Motion carried.
Marsha Webb detailed the
progress of the mission trip to Mississippi. She noted that the frogs in the
lake next to the camp where the Calvary group is staying drowned out any
snoring during the nights.
Noel Booker noted that he and
Margaret are refining the Mission of the Clothes Closet and he will present it
the next meeting.
Communication:
Morris Belknap presented a new
laptop computer that he will donate to Calvary Church. He is trying the machine
out to insure there aren’t any problems with the new Vista operating system or
with Office 2007. He will let Callie and Margaret try it out; if it’s not the
appropriate machine or something doesn’t work, he will keep the machine.
Carrie Frazier had a
Communications Committee meeting last Sunday but no report was published.
Parish Life:
Corky Sachs noted the upcoming
weekend with “Noel C. and Mrs. P.” fundraising event (the weekend following
this Vestry meeting). Tickets have sold well; some people may not be able to
get tickets at this point.
Corky also noted the upcoming
Calvary Camp. Marsha Webb noted that not many people had signed up. She noted
that not many Vestry members had signed up either. Some people have schedule
conflicts between school and that weekend. The question was raised if the camp
should be scheduled at a different time in the future.
Corky noted her grand-daughter
reported this year’s Easter Egg Hunt was the best one ever.
Marsha requested that more
people sign up for Coffee Hour. Susan Baker, she reported, does not want people
to feel that they have to provide anything more than cookies and coffee. The
Vestry agreed that everyone needs to take their turn and that it’s a very
special event.
Junior Warden:
Noel Booker had no report.
Senior Warden:
Jamie Hendon noted the Calvary
Mission Statement. He had each Vestry member read a portion of the Statement
out loud. He asked the Vestry to bring a copy of the Mission Statement to each
meeting in the future since it so clearly defines what directions Calvary
Church is dedicated to pursuing.
He reported on the Long Range
Planning Committee meeting this past Saturday. Noel Booker and Meg Scharre are
working up a report by the committee on short- and long-terms goals to the
Parish.
Rector:
Fr. Morris was with the mission
trip to Mississippi. There was no report.
Old Business:
There was no old business.
New Business:
A recommendation that the Vestry
approve purchasing telephone answering software was presented by Jamie Hendon.
The current equipment will remain for the present. A presentation of the
short-comings of the current software was made.
Corky Sachs made the motion that
the Vestry approve the recommendation. Noel Booker seconded the motion. Motion
carried.
The Vestry members and
significant others will have dinner on June 2 with Bishop Gulick at home of Downey
and Betsy Gray.
Each Vestry member who attended
will receive a bill for the Vestry retreat this past February.
Announcements:
There were no announcements.
The next regularly scheduled meeting of the Vestry
is May 22, 2007 @ 5:15 PM. Meeting will be held at Calvary Church with Haley
Hensley officiating Compline.
There
being no further business, the meeting was adjourned at 6:45PM with Compline officiated by Tom Fulton.
