Participants

Opening Prayer

Art Dietz called the meeting to order at 5:20 p.m. and offered an opening prayer.

 

Appointment of Secretary Pro Tempore

In the absence of the Secretary, Jim Barnes was appointed Secretary Pro Tempore.

 

Minutes of the February 17 meeting and of the Vestry Retreat (February 20-21)

Jerry Lyndrup moved that the minutes be accepted, seconded by Andrea Morris.  Motion carried.

 

Report on the 176th Annual Convention of the Diocese of Kentucky

Ned Reiter and Don Snow, Calvary Deputies to Convention [along with Michele Wogaman and Haley Hensley (Youth Delegate)] reported to the vestry on the proceedings at Convention. The written report gave a brief overview of the 20 resolutions, the results of elections to diocesan committees, and of the diocesan budget. The vestry was asked to pay particular attention to Resolution #3 (regarding the “Telling our Spiritual Journeys” process copies of which were provided), Resolution #5 (regarding a goal to include 0.7% giving for International Development in the budgets of each parish in the diocese), Resolution #7 (regarding referring all diocesan resolutions responding to the confirmation of Gene Robinson as bishop to the congregations for further study and discussion), and the resolutions attendant to #7; i.e., #8-#15. [Resolution #5 referred to Finance Committee. Resolution #3 referred to Parish Life Committee. Resolutions #7-#15 referred to the Diocesan Relations Committee.]

 

Committee Reports:

 

Finance:                    Andrea Morris presented the financial report for February as well as a newly developed form for requesting payments and reimbursements. Motion to accept and approve the financial report and the form was made by Ruth Robins, seconded by Jerry Lyndrup. The motion carried.

 

Sally Reisz moved that the vestry recess and reconvene in Executive Session for the purpose of discussing a personnel matter; seconded by Nick Baker. Motion carried.

 

Sally Reisz moved that the vestry reconvene in Regular Session; seconded by Nick Baker. Motion carried.

 

Art Dietz announced that no actions were taken in Executive Session and that the meeting would proceed per the agenda.

 

 

Stewardship:               No report at this time.

 

Building, House and Grounds:

                                       Jerry Lyndrup presented a written report containing lists of activities completed February-March, activities that are pending, and long-range major projects. Andrea Morris emphasized the need for resolution to the drainage problem at the third street property and Jerry indicated that this would be a number one priority on the list of pending activities. Added to the list of long-range activities was a means to improve the pictures of the Nativity and the Crucifixion in the sanctuary.

 

Parish Life:                  Sandra Cherry and Laina Brown presented a written report regarding the proposed Foyer Groups and the softball project. The target date for initiation of the Foyer Groups is late April. Recommendations will be forthcoming regarding softball jerseys, fees and “concessions”. All program heads under Parish Life have agreed to continue.

 

Worship:                      Jim Barnes reported that all program heads were on board and that each are in the process of receiving their list of persons volunteering for their particular program.

 

Communication:         Meg Scharre asked that the communications item within Margaret Dickinson’s written staff report be read. Meg further reported that a Marketing Committee is being formed and will meet for the first time on Saturday, March 20 to begin developing plans. [Potential candidates to assume the role as program head for Diocesan Relations was discussed by the vestry at this time.]

 

Outreach:                     Jim Barnes referred members to the outreach section in Margaret’s written staff report. With the exception of the Alice James Literacy Program head, all other program heads are on board.

 

Christian Formation: Gail Richardson referred members to the Callie’s written staff report. Gail particularly emphasized the Godly Play presentation at convention and demonstrations of material for older primary grades, the Godly Play training session by Kathleen Capcara, the Youth Progressive Dinner scheduled for March 21, the proposed Art and Soul program, and the possibility of a Catechesis for youth (which could tie in with Resolution #3 from the convention). Gail also said that purchase of handbells was being looked into but that they are expensive.

 

Long Range Planning:          No report at this time.

 

By-Laws:                      No report at this time.

 

Rector and Staff:         Staff reports for Outreach, Music and Communications and for Education were presented in writing.

 

Search Committee:     Sally Reisz presented a written report. She summarized the written report saying that telephone interviews with several candidates were being conducted and that Bishop Gulick has spoken with the Bishop of each candidate. She also reported that Jay Magness (Canon to the Ordinary and Diocesan Deployment Officer) agreed with the Search Committee that the Oxford Documents process as we knew it appeared to lack something. There are different levels of background checks that Oxford makes and the Diocese will use a more comprehensive check including a credit background check. The Search Committee had discussed and decided against separate checks on candidates’ spouses.

 

 

 

Junior Warden:           Sally asked that vestry liaisons check with the program heads within their committee area to be sure they wish to continue. The need for someone to coordinate the kitchen activities was referred to Jerry Lyndrup and Laina Brown for study and recommendations.

 

Senior Warden:           Art Dietz presented a written report. He reported that he would be out of town for the next couple of weeks and that any problems could be handled by Sally Reisz. He also reported that Lavinia Swain has agreed to begin a Book Club in September and this was referred to Parish Life.

 

Old Business

Art Dietz asked everyone to complete and hand in an evaluation form from All Saints covering the overnight. A date for the Calvary Weekend at All Saints has not been set as yet.

 

New Business     

A letter regarding the personnel matter discussed in Executive Session was reviewed and approved for distribution.

 

A letter from The Family Foundation, a group opposing gambling, was reviewed and no action taken.

 

Jerry Lyndrup informed the vestry that appraisers from The Church Insurance Company would be appraising Calvary for insurance purposes. The matter was referred to the Insurance Subcommittee.

 

Jim Barnes brought formal thanks and appreciation to Nick Baker from the Louisville Bach Society, particularly the members of the LBS Octet, for his thoughtfulness in providing a tour guide (Rev. Bolton) for the Octet during their recent concert in Hazard, Kentucky. The Octet was grateful for something worthwhile to do between 1:00 and 6:00. Nick’s mother also made the evening concert a delight.

 

Julia Richardson would be the featured artist at the next Lenten Recital Series, Wednesday, March 17.

 

The next meeting of the vestry is April 20, 2004, at 5:15 p.m. at Calvary Church.

2004 OUTREACH, MUSIC, and COMMUNICATIONS – Mar. Meeting

 
                 

                                                        

 

Outreach:

1. Food Donations:  This report covers the period from February 16 through March 15. The value of food donations during this period is $6,123! The gigantic part of those food donations was supplied by Kentucky Harvest through the hard work of Walter Morris, who personally loaded 8,500 cans of food onto his trucks and brought them to Calvary. He and I unloaded them all. WOW. And for those people who saw all the stuff piled in the hallway and thought we’d never get rid of the cans, know that the hallway is now empty of cans – all having found homes with those who don’t have enough to eat! Thanks, Walt!

 

2. Food Distribution: During February, we gave out 121 food bags that fed 209 people.

 

3. Clothes Shops for Women and Kids: Thanks to clothing contributed exclusively by Calvary people, and thanks to the intense interest given to this project by our weekday volunteers, the number of people clothed at Calvary continues to increase. Since February 16, we have clothed 55 people. Without volunteers Ned Reiter, Larry Brown, John Cunningham, Joyce Tichenor, Bill Adams, and Lois O’Hara, this ministry would not be half as successful.

 

4. Breads: Bill Garnar is making bread for the Lenten lunch series, and we are so grateful.

 

5. Book Aid: David Webb is now in charge of the books, and has made a nice basket in which to drop the books. Timmons lends invaluable and undying assistance to David.

 

6. Crisis Care  (Outreach of sorts!) Jean Dietz, assisted by Shirley Leach, has been making calls to the church most Wednesdays and then following up on those who are sick or in crisis. Their help has been greatly appreciated and very encouraging. Lois O’Hara also continues to write welcoming notes to those who sign the guest book.

 

7. The Refugees: While the Sherifi family is now independent, we still offer help now and then. Most recently we helped with car insurance. Lilamani Perera’s niece writes that she is doing wonderfully, and is THE layreader in her church, which the Perera family founded years ago! We continue to interact with the Lasu family, thanks to the interest of the Lyndrups and others.

 

8. Literacy: We still need more tutors.

 

9. Hosting: Board meetings, drop-ins for tours, Search and vestry meetings, recitals, food distribution, Bach Society concerts, and AA continue to make Calvary a busy place during the week.

 

10. HABITAT: What’s next?

 

 

MUSIC:

The Stovall Memorial Lenten Series, as I have decided to call this, the 18th year, began on March 3 and runs every Wednesday during March. Vestry attendance has been poor – only two out of 15. But general attendance has been very good – last week, there were 77 people there. In two free-will offerings, we have taken in almost $400. I am so pleased with the number of volunteers who have set tables, cooked, cleaned up, served, and done all of those things that take a lot of time but that generate a great deal of togetherness. For instance, did you know that one of our families has raised 17 babies as foster children? Thanks be to all who continue to help, attend, and support.

 

 

Communications: 

1.      Publicity for the Stovall Memorial Lenten Recitals has been very good in the CJ Tipsheet, even to the point of describing how Owen Stovall cut bread and Zilpha told him how not to do it! Posters for each concert, plus programs, have been made and distributed.

 

2.      Holy Week-Easter   edition deadline is March 28. YE WHO NEED TO KNOW, TAKE NOTE!

 

3.      Webmaster Jim Barnes continues to do a fantastic job of updating and adding to the Calvary website. As of March 15, we have had a total of 5,228 visits to our website! That’s since March 31, 2003, and about 400 since last month! As we again resume a search, we can be sure that this means of communication will be tapped extensively. We are proud of what we offer on the website, and there’s not much about Calvary that you don’t find there! A potential new rector just has to click on the first page if he/she’s interested! Education Report to the Vestry

March 2004

First of all, I would like to thank the vestry for including Vestry Liasons for Education.  The support is tremendously appreciated!  Thank you to Elyse Hensley and Gail Richardson for serving in this capacity.

 

I would also especially like to recognize Gail Richardson for being such an integral part of Godly Play over the past few weeks as she and I traveled to Owensboro to give a presentation at the Diocesan Convention as part of the Children’s Ministry Team for the Diocese.  The attendance and response was absolutely wonderful.  Many people noted how Gail’s talent for Godly Play storytelling, including Bishop Reed, gave them new insight into a very familiar story, THE GOOD SHEPHERD.  And this past weekend, Kathleen Capcara, trainer and author of Godly Play, came to Louisville to do training on Godly Play classes for older primary children.  Kathleen is in the process of ordination and we are very fortunate that she came to Louisville, as she has all but given up her traveling this year.  I would like to request additional funds for new materials in support of setting up the new class.  This can be done by writing for a new grant, or possibly having a drive asking people if they would like to contribute, though we don’t want to conflict with the request for support of handbells.  It is very rewarding to see more and more people become aware and recognize the importance of such a superb educational/spiritual program as Godly Play.

 

The Youth Group will be having the progressive dinner next week starting at the home of Suzie Egger and moving on to the Stark’s home for dessert and even indoor swimming.  Last month they enjoyed bowling.  Rev. Webb will celebrate the Eucharist.  And Jeff Webb has volunteered to help with the youth group—how very exciting! 

 

At the vestry overnight, there was discussion about planning another Art & Soul program, similar to the one we had four years ago.  To date, a committee is being formed and will meet soon.  Will Cary, Beth Rudwell, David Webb, and Martha Edling have already agreed to work on this.  Martha Edling is offering to help organize a summer program, similar to Bible School, for one week, where emphasis would be on art and religion, resulting in contributing to the exhibit in the fall.  Dr. John Hale has also agreed to lead a lecture related to the program.  I’ll give you updates as they occur.  Are there any dates in the fall that we need to avoid, or might be particularly conducive to this for the lecture and reception.  We will need to consider John’s schedule too, of course.

 

Also this fall, it would be good to plan for the possibility of Catechesis for youth (and adults?) at Calvary.  Additionally, Ned Reiter, Don Snow, and Rev. Humke are very enthusiastic about a program they were introduced to at Convention:  Telling your story.  Dick has recommended that we pursue this in the fall. 

 

Given the topics at Convention, it is timely for us to offer some education for our youth.  I am in the process of developing a few lesson plans for the youth and am asking for the Vestry support and recommendation from Dick to offer several classes to the youth regarding gay ordination, gay marriage, etc.  I think it would be wise to inform the parents before the classes are held.
