February 17, 2004
Participants
Present: Nick Baker, Jim Barnes, Laina Brown, Art Dietz, Ginger Grizzle, Elyse Hensley, Jerry Lyndrup, Andrea Morris, Sally Reisz, Gail Richardson, Ruth Robins, Meg Scharre, Michele Wogaman, The Rev. Richard Humke
Absent: Sandra Cherry, Jeff Webb
The Rev. Richard Humke called the meeting to order at 5:20 pm and offered an opening prayer.
Jim Barnes moved that the minutes be accepted, seconded by Jerry Lyndrup. The motion carried.
Andrea Morris reviewed the changes from the previous year’s budget. Two line items have been added; Vestry retreat ($800.00) and Diocesan Convention expenses ($750.00). The proposed budget has a surplus of $23,053.10. Jim Barnes made a motion, seconded Sally Reisz, to accept the proposed 2004 operating budget. The motion carried.
Budget, Finance and Stewardship
Michele Wogaman has agreed to serve as co-chair along with Walt Morris.
Building, House and Grounds
Jerry Lyndrup reported that major capital projects (tuck pointing and plastering) are on hold until the weather has improved. Work continues on smaller projects. He indicated that someone is needed to manage grounds projects in the spring – this will be addressed at the Vestry retreat.
Jerry indicated that there had been several false alarms with the security system and asked that everyone be more careful in securing the building.
The issue of striping the parking place nearest to the stairs was revisited. Moisture collects in this area and presents a hazard. Ruth Robins has volunteered to provide the paint and Elyse Hensley will paint the stripes.
Planning, Personnel and Volunteers
No report at this time. This committee structure will be discussed at the Vestry retreat.
Outreach, Music and Communication
The written report was reviewed. Reminder regarding the upcoming Lenten Concert Series and Shove Tuesday dinner. These events are an opportunity to socialize and to get to know members better.
Art Dietz asked that this and the Education reports be e-mailed to the Vestry members so that they can be reviewed prior to the meeting.
Education
The written report was reviewed and accepted.
Rector and Staff
The Parochial report was reviewed and the Vestry members were asked to sign a document signifying that they reviewed the report.
Search Committee
Sally Reisz reported that the CDO’s of candidates had been reviewed and that recruitment packets were sent to eight (8) candidates. The candidates were asked to respond by February 20. At this time two (2) positive and no negative responses have been received; one candidate had already taken a call. The next committee meeting is scheduled for February 26.
Junior Warden
Sally Reisz distributed a committee list that was developed by PP&V last year. She indicated that the present committee structure and the by-laws do not match in all areas. She has combined these lists so that this can be explored further at the retreat.
Senior Warden
Art Dietz asked that the Vestry review the by-laws so that changes in the by-laws and/or our operations can be made to bring them together in compliance. Jim Barnes indicated that changes to the by-laws have been made over the years and that these changes were reflected in Vestry minutes. However, these changes were not made in the actual by-law document. Art suggested that a committee be appointed to review the minutes and the most recent edition of the by laws to determine what changes had been made. Action on this issue will be made at the Vestry retreat. Copies of the by-laws and “The Vestry Resource Guide” were distributed.
Old Business
Final details for the Vestry retreat were discussed. The cost of the retreat is $43.50; members may send a check to the church to cover the cost.
New Business
We have been contacted by Terry McCoy regarding Zilpha Pugh Stovall who left a substantial bequest to the church. The estate settlement is not final.
The Vestry received a letter from Harriet Wilson requesting a transfer to St. Frances in the Field congregation.
Prayer and Adjournment
The Rev. Richard Humke offered a closing prayer and the meeting was adjourned at 6:22 pm.

STAFF REPORTS
2004 OUTREACH, MUSIC, and COMMUNICATIONS – Feb.
Meeting
Outreach:
1. Food Donations: Each
month, I list the value of the food donations dating from vestry meeting to
vestry meeting. This report, however, includes the entire month of January,
since the January vestry report showed the entirety of 2003. Therefore, be it
known that we took in $2,534 worth of food from January 1 through February 16.
2. Food Distribution: During
January, we gave out 104 food bags that fed 152 people.
3. Clothes Shops for
Women and Kids: Thanks to
clothing contributed exclusively by Calvary people, and thanks to the intense
interest given to this project by our weekday volunteers, the number of people
clothed at Calvary continues to increase. Since January 1, we have clothed 85
people. Without volunteers Ned Reiter, Larry Brown, John Cunningham, Joyce
Tichenor, Bill Adams, and Lois O’Hara, this dramatic increase would never have
been possible. Granted, the north entry doesn’t look as bare as it used to, but
it is certainly functional! And that’s our ministry!
4. Breads: Raspberry jam was on sale in the Parish Hall, thanks to our
anonymous jelly angels and the Dickinson raspberries! The latest batch is now
sold, and we realized a good amount from the sale, as well as a lot of good will!
5. Book Aid: David Webb is now in charge of the books, and has made a
nice basket in which to drop the books. Timmons lends invaluable and undying
assistance to David.
6. Crisis Care (Outreach of sorts!) Jean Dietz, assisted by Shirley Leach, has been making calls
to the church most Wednesdays and then following up on those who are sick or in
crisis. Their help has been greatly appreciated and very encouraging. The
crisis care has taken the form of note writing and calls of concern more often
than actually sending food, although we have done some meals this past month.
We need more cookers! Lois O’Hara also continues to write welcoming notes to
those who sign the guest book.
7. The Refugees: While the
Sherifi family is now independent, we still offer a little help now and then.
Lilamani Perera’s niece writes that she is doing wonderfully, and we now are
full speed ahead with the Lasu family, thanks to the interest of the Lyndrups
and others.
8. Literacy: We still need more tutors.
9. Hosting: Board meetings, drop-ins for tours, Search and vestry
meetings, recitals, food distribution, Bach Society concerts, and AA continue
to make Calvary a busy place during the week.
10. HABITAT: What’s next?
11. Outreach Gifts: The last CONNECTION reported various letters of thanks that
had been received from the agencies to whom we gave $10,000 in 2003.
OVER
MUSIC:
The
Stovall Memorial Lenten Series, as I have decided to call this, the 18th
year, begins on March 3 and runs every Wednesday during March. We would like to
invite (implore, cajole) the vestry support for this traditional venture that
brings many people together, not only from Calvary, but also from the rest of
the community. A signup sheet is posted in the Parish Hall. If you don’t have
time to help, please take time to attend – it can all be done on your lunch
hour.
Communications:
1. Publicity for the Stovall Memorial Lenten Recitals has been
e-mailed and mailed, posters made, and flyers have been created for the Shrove
Tuesday supper and inserted in the bulletins.
2. Epiphany-Lent edition was mailed last week, and I thank
all those who helped. I especially am grateful to everyone who made the
deadline, and twice as grateful to those who submitted articles early! EVERYONE
MET THE DEADLINE THIS TIME – I think that’s a FIRST!
3. Webmaster Jim Barnes continues to do a fantastic job of
updating and adding to the Calvary website. As of February 16, we have had a
total of 4849 visits to our website! That’s since March 31, and about 500 since
last month! As we again resume a search, we can be sure that this means of
communication will be tapped extensively. We are proud of what we offer on the
website, and there’s not much about Calvary that you don’t find there! A
potential new rector just has to click on the first page if he/she’s
interested! Thanks, Jim!

Education Report to the Vestry
February 17, 2004
Recent Special Events:
Teachers’ Meeting on 2-1-04 (Agenda attached). A suggestion was made to have involvement from the children and youth during the service on Awards Day, May 16. Plans could be made for the children to sing, the Youth String Ensemble could play, youth could read, usher, and hand out bulletins. Other suggestions are welcome. Perhaps someone from the congregation could host a special coffee hour in honor of Calvary’s children and youth.
Recently the youth enjoyed a pizza luncheon and several games of bowling with Suzie Egger leading. Though the group was small, they played well and had fun! Other plans for youth include a Progressive Dinner in March, Kids Café in April, Video Scavanger Hunt in May and Wayside Christian Mission in July.
Coming up:
Shrove Tuesday Celebration Dinner (please share a flyer with your friends and family) on Tuesday, February 24, 2004. The youth will begin preparations this Sunday morning.
Also, the Lenten Event will be Sunday, February 29.
In March Gail Richardson and myself will be traveling to Owensboro for the Diocesan Convention to present a Godly Play Story. The following weekend, we will be co-sponsoring a Godly Play Workshop with St. Mark’s on the 12th and 13th. If you are interested in learning more, please join us! It is well worth your time! And as Calvary is the main sponsor, I hope you’ll help spread the word.
Thank you Elyse Hensley for your superb leadership with the children’s Choral Ensemble! They were absolutely wonderful this past Sunday!
