Call to Order and Prayer
The Rev. Richard Humke called the meeting to order at 5:17
PM and offered opening prayers.
General Discussion
The new vestry members (Nick
Baker, Jim Barnes, Laina Brown, Andrea Morris and Meg Scharre) were warmly
welcomed by Fr. Humke and the other vestry members. A review of the Calvary Annual Meeting, held on January 18, 2004,
followed. It was next decided that the “reconvened” rector search committee
would retain the nine (9) members from the prior committee who are willing to
continue serving. The vestry then approved a designated meeting time of the 3rd
Tuesday of each month at 5:15 PM, with meetings to be held in the Parish Hall
(motion Dietz, second Cherry).
Minutes of December 16, 2003
and January 11, 2004 meetings
The minutes of the regular
December 16, 2003 vestry meeting and of the January 11, 2004 special call
vestry meeting were both approved as written.
Election of Officers
The following individuals were
elected to the offices indicated:
Senior Warden – Art Dietz
Junior Warden – Sally Reisz
Secretary – Ginger Grizzle
Treasurer – Andrea Morris
Assistant Treasurer (one year
term) – Harvey Turner (appointed by vestry vote)
Election of a Trustee
Harvey Turner was nominated by
Jerry Lyndrup; second by Sally Reisz.
This is a four-year term and replaces Clyde Warner who has completed his
term.
Committee Structure
The committee structure was
discussed for the benefit of new members. There are numerous functions that
have been assigned to the PP&V committee that may be more appropriately
handled. Committee membership and
possible restructuring will be determined at the February meeting.
Committee Reports
Budget/finance
The current pledges for 2004
are $233,865.00. The finance committee
has decided use interest from the endowment fund (this will be reflected as a
line item in the budget). A rolling
five percent income will be based on the last 12 quarters. This will allow a more realistic budget that
is actually a surplus budget. The final
budget for 2004 will be presented at the next meeting.
We are due for an external
audit on FY 2003.
Stewardship and Every
Member Canvas
Progress slowed considerably
after the announcement in late December of Father Vance’s status. There are still thirty outstanding pledges
and the latest total is $234.650.00.
Planned giving – The committee
is looking forward to re-activation after the trustees make their decision
regarding the status of the endowment fund.
Outreach, Music and
Communications
The printed report was
accepted (SEE BELOW)
Search Committee
The documents that were used
in the last search were distributed for the review of the members. The search committee has begun working, they
have already met once and will meet again next week. The committee presented a budget of $10,000.00 for the
search. A motion to accept the budget
was made by Sally Reisz and seconded by Jerry Lyndrup – the motion carried.
PP&V
The hospitality committee
needs volunteers for coffee hour. A
list was circulated for volunteers.
Clergy Report
Fr. Humke expressed his thanks
for the camera that was presented by the Vestry. He plans to put it to good use when he is on vacation March 16 –
April 2.
Fr. Humke has subscribed to a
publication called the “Parish Paper”.
This publication is available for reproduction and copies will be
distributed to the vestry members one week prior to the vestry meetings. We will utilize the information as a point
of discussion during a portion of each meeting.
Old Business
Deputies to the Annual
Convention on March 5-6 are: Michele Wogaman, Ned Reiter, and Don Snow
(alternates: Art Dietz and Sandra Cherry). Haley Hensley will serve as Youth
Deputy.
New Business
The Vestry retreat is being
held at All Saints February 20-21.
Hospitality will begin at 5:30 pm Friday and we will adjourn after lunch
on Saturday.
Other Business
Letter from Father Marc Vance
regarding his inability to accept the call to Calvary.
Thank you note from Darlene
and Jake Clay for the Christmas gift from Calvary.
Prayer and adjournment
Fr. Humke offered a closing
prayer and the Meeting was adjourned at 7:20 pm
The next meeting is Tuesday
February 17, 2004 at 5:15 pm

STAFF
REPORTS
2004 OUTREACH, MUSIC, and COMMUNICATIONS – Jan.
Meeting
As is the custom for the initial meeting of the new year, I
summarize the year-end totals in outreach, music, and communications. In
succeeding months, the time span is from vestry meeting to vestry meeting.
Please refer to the Annual Report Booklet for more extensive analysis.
Outreach:
1. Food Donations: The
value of contributed food for our food closet in 2003 totaled $31,275.00. These
donations came from Kentucky Harvest, a couple of other Episcopal churches in
the east end, Ermin’s, Paul’s, Kroger, and consistently from the people of
Calvary. We are especially grateful to our weekday volunteers, who help to hand
out all the food.
2. Food Distribution: During 2003,
we fed 3,231 people! That’s one bag at a time, folks!
3. Clothes Shops for
Women and Kids: Thanks to
clothing contributed exclusively by Calvary people, and thanks to the intense
interest given to this project by our weekday volunteers, the number of people
clothed in 2003 has jumped dramatically. By comparison, we clothed 397 people
in 2002. In 2003, it jumped to 756 people. Without the help of Ned Reiter,
Larry Brown, John Cunningham, Joyce Tichenor, Bill Adams, and Lois O’Hara, this
dramatic increase would never have been possible. Granted, the north entry
doesn’t look as bare as it used to, but it is certainly functional!
4. Breads: Raspberry jam is again on sale in the Parish Hall, thanks
to our anonymous jelly angels and the Dickinson raspberries!
5. Book Aid: David Webb has agreed to be chair of the Book Aid, due to
Timmons’ health problems, but Timmons will continue to advise him! A very
attractive new BOOK DROP has been placed in the Parish Hall. Noteworthy is
that, since its inception in 1990, the grand total of distributed books
exceeded the 30,000 barometer, at 30, 094. Thanks to all, especially Timmons.
6. Crisis Care (Outreach of sorts!) Jean Dietz, assisted by Shirley Leach, has been making calls
to the church most Wednesdays and then following up on those who are sick or in
crisis. Their help has been greatly appreciated and very encouraging. The
crisis care has taken the form of note writing and calls of concern more often
than actually sending food, although we have done some meals this past month.
As Nancy Anderson wrote in the report, we need more cookers! Lois O’Hara also
continues to write welcoming notes to those who sign the guest book.
7. The Refugees: While the
Sherifi family is now independent, we still offer a little help now and then.
Lilamani Perera’s niece writes that she is doing wonderfully, and we now are
full speed ahead with the Lasu family, thanks to the interest of the Lyndrups
and others.
8. Literacy: We still need more tutors.
9. Hosting: Board meetings, drop-ins for tours, Search and vestry
meetings, food distribution, Bach Society concerts, and AA continue to make
Calvary a busy place during the week.
10. HABITAT: See the Annual
Report Booklet for full details, but we are delighted to report that the
Antoine Ellis family now has a new house, thanks to a bunch of Lutherans and
Episcopalians. Jerry Lyndrup and Jeff Webb were Calvary’s “Head Hammers,” and
other parishioners contributed time and cash to the house.
11. Outreach Gifts: As you can see from the annual report, Calvary was able to
donate $10,000 to needy agencies in the Louisville area: Help Ministries;
Cabbage Patch; St. John Center; Alice James Literacy; House of Ruth; St.
George’s Center; and the Center for Women and Families. Appreciative letters
have been received from the groups.
MUSIC:
Pageant
and Christmas Eve are past, with good participation and quality presentations.
Now we turn our attention to Lent, and the 18th annual Lenten
Recital Series, due to begin on March 3. Sooner than you think. We would like
to ask any and all of you to help with the luncheons, or at the very least to
use your lunch hour to attend. All free-will proceeds will benefit a Calvary
outreach project. The Series this year will be in memory of Owen and Zilpha
Stovall, faithful helpers for all of the last 17 years.
Communications:
1. The biggest project has been the Annual Report Booklet,
encompassing 38 pages of information submitted by many, many people (with the
usual challenges of chasing after people who missed the deadline!). Larry Brown
and John Cunningham assisted me in assembling. IT WAS A LOT OF WORK, and a
document that tells much about Calvary and its ministries.
2. Epiphany-Lent edition is coming up soon, with the deadline
February 8. For those in new positions on the vestry, may I remind the Senior
Warden, Junior Warden, and Secretary (Vestry Ventures) that they are urgently
urged to write articles and submit them by noon on the deadline Sunday! Other
vestry members are encouraged to submit articles if they would like.
3. Webmaster Jim Barnes continues to do a fantastic job of
updating and adding to the Calvary website. See the latest information in the
annual report booklet. As of January 20, we have had a total of 4429 visits to
our website! That’s since March 31, and about 700 since last month! We remind
you that the annual reports are posted, not only for 2003, but for 2002 as
well. As we again resume a search, we can be sure that this means of
communication will be tapped extensively.
