Opening Prayer

The meeting was called to order at 5:20p.m.; Corky Sachs and Fr. Morris offered meditations.

 

Minutes of December meeting

Sally Reisz moved the approval of the December 21, 2004 minutes of the vestry; seconded by Andrea Morris. Motion carried.

 

Special Orders of the Day

 

1.     Election of 2005 officers of the vestry.

Fr Morris opened the floor for nominations for the 2005 officers of the vestry.

 

Downey Gray nominated Sally Reisz for Senior Warden. Hearing no further nominations, Downey moved that the nominations be closed; Sandra Cherry seconded. Motion carried.

 

Meg Scharre nominated Downey Gray for Junior Warden. Sandra Cherry nominated Jim Barnes for that office. Jim declined, deferring to others who may not have held such office in the past. Hearing no further nominations, Jim Barnes moved that the nominations be closed; Andrea Morris seconded. Motion carried.

 

Jerry Lyndup nominated Jim Barnes for Secretary. Hearing no further nominations, Jerry moved that the nominations be closed; Sally Reisz seconded. Motion carried.

 

Laina Brown nominated Andrea Morris for Treasurer. Hearing no further nominations, Laina moved that the nominations be closed; Jerry Lyndrup seconded. Motion carried.

 

Meg Scharre moved that the slate of nominees be elected by unanimous acclamation; Nick Baker seconded. Motion carried.

 

2.     Election of Deputies to the 177th Convention of the Diocese of Kentucky.

By motion of the Executive Committee, the following parishioners were nominated as Deputies to Convention: John Bugbee, Ned Reiter, Corky Sachs with Haley Hensley nominated as Youth Deputy. Alternate Deputies nominated were Elyse Hensley, Walt Morris, Deborah Stewart with Tori Long nominated as the Youth Alternate. Motion carried.

 

3.     Election of members of the Investment Advisory Committee.

By motion of the Executive Committee, the following were elected as members of the Investment Advisory Committee: Kate Crawford (2002), Jamie Hendon (2003), Harvey Turner (previously elected in 2004), and Jim Hill (2005). The terms of office are four years from date noted. The Senior Warden, Junior Warden and Treasurer are automatic members. Motion carried.

 

Committee Reports

Finance:

  Andrea Morris presented the financial statements through December, 2004 that were included in the agenda for the Annual Congregational Meeting on January 16, 2005. Downey Gray moved that the report be accepted; Corky Sachs seconded. Motion carried. Andrea presented the proposed budget for 2005.

 

  Andrea reported that the budget she prepared needs to be emended because of the need for a new fax machine, a new duplicator (a committee has been formed to get prices/bids on this project) and a recently received Anthem bill that is greater than expected. The discussion of the 2005 budget included a discussion of the cost of the tuck-pointing project and the current status of the Zilpha Stovall estate that was expected to be used to pay for the tuck-pointing. Sally Reisz explained that Calvary has received a check from the estate but that it has not been cashed as it accompanied a release form indicating that we agreed that this was the sum total of our share of that estate; the Executive Committee does not agree with that interpretation of the Stovall Will and would like authorization to pursue the matter. Corky Sachs moved that the Senior Warden be authorized to retain an attorney to review the Will and interpretations thereof and to provide advice as to the advisability of pursuing any additional interest Calvary may have in the distribution of the Zilpha Stovall estate and to act upon that advice; seconded by Downey Gray. Motion carried.

 

After extended discussion relative to other matters in the 2005 budget; i.e., how payments to the endowment fund are shown, how the Third Street mortgage payment and interest are shown, and the need for other financial statements which may give a clearer picture of the financial condition, Downey Gray moved that the 2005 budget be tabled with approval to continue to pay 2005 salaries and to make any necessary operating expenditures; Sally Reisz seconded. Motion carried.

 

Fr. Morris reported that a Finance Committee is being formed that will look at balance sheets, financial reports and financial records on a regular basis. The committee will meet one week before the Executive Committee meets so that the officers can review the statements. The first meeting will be February 3. (The Executive Committee meets one week prior to each vestry meeting to set the agenda for such meetings.)

 

Stewardship:

       The Stewardship Committee met last week to review the results of the campaign. A report will be given at the next meeting of the vestry. The current committee is seeking additional members.

 

Worship:

Jim Barnes drew the vestry’s attention to the January written staff report for Music pointing out particularly that the Lenten Recital Series is almost upon us. A list will be placed on the board in the Parish Hall for luncheon preparation volunteers. Jim also reported that the Worship Committee met on January 4th and will meet again on February 1. The purpose of the committee is to review worship services in general, but particularly immediate past worship services, in view of what works best and what may need to be changed. The committee will also review plans for services in the immediate future and those for services in the next church season cycle. The January 4th meeting focused on services during the Christmas season and the Celebration of New Ministry. The review of plans for immediate services included Ash Wednesday (February 9) and Lent. Holy Week service plans were those in the third category of review.

 

Fr. Morris announced that he would celebrate Holy Eucharist, Rite II, at 12:05 on Thursdays beginning February 10. The service will also include anointing and laying on of hands healing prayers.

 

Christian Formation:

Elyse Hensley drew the vestry’s attention to the January written staff report for Christian Formation and to the minutes of the first meeting of the Christian Formation Group that has subdivided into the Adult Formation Committee and the Youth Formation Committee. These groups will review the Christian Formation Program and provide advice in this area. The subcommittees will meet as separate groups beginning in February.

 

Fr. Morris reported that the youth of the Diocese would meet at Calvary Sunday afternoon, January 23. Fr. Morris will celebrate Holy Eucharist at 4:00 with youth serving as ushers, chalice bearers, readers, and musicians. A kickoff progressive dinner will follow facilitated by a trolley hop.

 

Building, House and Grounds:

Jerry Lyndrup provided copies of the current and future maintenance projects to the new members. Tuck-pointing continues. Jerry reported that he has tried to get the contractor to give him a bill for the work to date (as an aid for the budget preparation) but such has not yet been forthcoming. He will continue to work on that. He reported that the drinking fountain on the second floor has been replaced. He also reported that Carla McCarty has resigned from her duties as head of the kitchen committee and that Martha Edling has taken her place. Laina Brown will continue to obtain the supplies for the kitchen.

 

Outreach:

Jim Barnes drew the vestry’s attention to the January written staff report for Outreach. He also reported that he is receiving thank you notes from the outreach grant recipients and would provide copies at a future date. Fr. Morris reported that the letter from St. George’s Community Center is going to be duplicated in the next issue of the Connection.

 

Communication:

Meg Scharre drew the vestry’s attention to the January written staff report for Communication. Meg reported that the Marketing and Public Relations Committee would be meeting tomorrow (January 19).

 

   Parish Life:

Sandra Cherry reported that the next round of the Foyer Groups began Friday, January 14, with a kickoff pot-luck dinner at Calvary. The individual foyer groups made plans through July. She stated that a closing get-together would be planned for July. She further reported that the softball season would soon be here. She also distributed the coffee-hour sign up list.

 

Fr. Morris reported that the Shrove Tuesday Pancake Supper is scheduled for February 8 and will again be sponsored by the Youth of the church. He also asked that palms from last Palm Sunday be brought to the church for burning on Shrove Tuesday to provide the ashes for Ash Wednesday services the next day.

 

   By-Laws:

Sally Reisz distributed copies of the By-Laws that are now on computer. Nick Baker reported that these can be discussed at the next vestry meeting.

 

 

   Junior Warden:

Being newly elected to the office, Downey Gray deferred any report.

 

  Senior Warden:

Sally Reisz reported that the Vestry Retreat is scheduled for February 18 and 19 at Wooded Glen, Henryville, Indiana. Activities of the Senior Warden being covered elsewhere during this meeting, Sally had nothing further to report.

 

Rector:

Fr. Morris reported that Ash Wednesday services are scheduled for 12:05 and 5:30 on February 9. He also reported that he has scheduled a Lenten Quiet Morning for Saturday, March 5 from 10:00 – 12:30. This is a Lenten retreat for reflection and self- examination and includes short common prayers interspersed with time for individual silent meditation. He further reported that the date for the Bishop’s visitation and Confirmation is June 5 that is also the first Sunday on the Summer schedule.

 

Fr. Morris also reported that he has agreed to the placement of a seminarian at Calvary. Rhonda Lee will begin her internship on February 6 with her Ordination to the Deaconate expected in June. Her fields of interest include Pastoral Care and Adult Education. She is completing her doctoral degree at Duke University.

The next regularly scheduled meeting of the vestry is February 18, at the Wooded Glen Retreat Center with Jim Barnes officiating Compline.

 

There being no further business, the meeting was adjourned at 7:43p.m. with Compline officiated by Nick Baker.

Staff Reports

Outreach, Music, and Communications – January 2005

 

Outreach:

1. Food Donations:  As is the custom at the end of the year, this report reflects the totals for 2004. The February report will encompass the beginning of January through the middle of February. Therefore, the total value of food donated by various groups in 2004 totaled $35,002, an increase of almost $4,000 over 2003.

 

2. Food Distribution: During December, we gave out 123 food bags that fed 211 people. The totals for the year are 1,546 food orders feeding 2,559 people. Due to the move to Christ Church Cathedral in a less residential area, our totals were down about 600 from 2003. The Help Ministries office is hoping to move back into our area, so if you know of a place, please advise us!

 

3. Clothes Shops for Women and Kids: Thanks to clothing contributed exclusively by Calvary people, and thanks to the intense interest given to this project by our weekday volunteers, the number of people clothed at Calvary continues to increase. In 2004, we clothed 743 people with everything from complete outfits to gloves, coats, and hats for the cold weather.

 

4. Breads: The jelly business has shut down as the cold has approached. Thanks to all who helped with this project, both the makers and the takers!

 

5. Book Aid: Books continue to come in, and are well cared for by David Webb, with advice from Timmons Owens.

 

6. Crisis Care  (Outreach of sorts!) Jean Dietz has been making calls to the church some Wednesdays and then following up on those who are sick or in crisis. Meals have been prepared and taken to some parishioners in crisis. Lois O’Hara also continues to write welcoming notes to those who sign the guest book.

 

7. The Refugees: Premilla Dassenaike, Lilamani Perera’s niece, reports that although Lilamani and family are safe in Sri Lanka, the Tsunami devastation is everywhere. Sherifis still upset over Ridvan’s wreck. The Lasus have bought a house in Shively.

 

MUSIC:

Christmas Eve services were a challenge with the snow! We had to cancel the choir rehearsal and dinner on December 23, but most musicians figured out ways to get to Calvary on Christmas Eve. We thank all those who pitched in and transported those who were stuck! Of the 118 who made it to the 9:30 service, more than 45 were musicians, and we thank them all for special effort and a wonderful evening of music.

The Young String Ensemble did a great job at the 4:00 service on Christmas Eve, with all eleven string players making it to church, along with Judy Wilson, their director. Thanks, one and all.

The choir dinner has been rescheduled for next Sunday, January 23, after the 11:00 service.

Next up: LENTEN RECITAL SERIES! Hard to believe! The soloists are all lined up (Lynn Thompson, Catherine Alberts, Mike Tunnell and his trumpets, Julia Richardson, Melvin Dickinson, and Margaret Dickinson) and volunteer sheets will soon appear for luncheon volunteers. If any vestry people can help, it is a most interesting and gratifying time! We do hope, even if you can’t help, that you will support this traditional series with your presence.

 

                                                                                                               

Communications: 

THE CALVARY CONNECTION deadline is January 23. The new Junior Warden especially needs to be put on deadline alert – the rest of the vestry people know my feelings about deadlines!

 

Webmaster Jim Barnes continues to do a fantastic job of updating and adding to the Calvary website. To date, 9,257 visitors have logged in to our website since March 31, 2003.

 

The Annual Meeting booklet has been created, assembled, and handed out on Sunday, January 16. Much is contained in the booklet that contains over 30 pages of information about Calvary’s happenings in 2004. The information was submitted by 30 program heads and others, and assembled by yours truly.

 

It is time, with all of the bulletins, mailings, booklets, and other materials that we publish in-house, that we consider a new copier, one that will do pictures well, print legibly, and be able to fax, collate, and staple! We have received information and proposals from Duplicator Sales, and I hope you will consider this need carefully. To expend hours and hours on things like Christmas Eve bulletins and then have them appear with black lines on each page is neither pleasing or professional!

Christian Formation Report to the Vestry

January 2005

 

 

Classes resumed on Jan. 9, 2005 and will continue through the end of May.

 

Confirmation classes  for youth begin on February 20, 2005 at 10:00 a.m. on Sunday mornings.  Also, there will be confirmation instruction for adults during the spring.

 

On 1-9-2005, Youth Leaders and youth members met to plan and discuss the service which Calvary is sponsoring on 1-23-2005 for the Diocesan Youth Progressive Dinner.  We are so pleased to be able to share our church and introduce our new rector to diocesan youth!  And thank you to all those who participated, from other churches as well.

 

On January 2, 2005, two new committees met:  The Christian Formation Committee for the Adult Forum and  The Christian Formation Committee for Youth.  Monthly meetings will be held on Sunday mornings.  I synopsis of the meeting is attached.

 

Next month on February 8, the youth will be sponsoring a Shrove Tuesday Pancake Supper.  The Lenten Event will be held on the first Sunday of Lent, February 13.
