Opening Prayer
The meeting was called to order at 5:17p.m. Fr. Morris offered a meditation from “Meditations for Vestry Members”
followed by a discussion of the reading and then by the Lord’s Prayer.
Minutes of December meeting
Corky Sachs moved the approval of the December 20, 2005 minutes of
the vestry; seconded by Clyde Warner. Motion carried. Meg Scharre was thanked
for filling in as Secretary Pro Tempore for that meeting.
Special Orders of the Day:
TREASURER: David Stewart nominated Andrea Morris for the
office of Treasurer; Corky Sachs joining. There being no other nominations,
Clyde Warner moved that nominations close and that a single unanimous vote be
cast for Andrea; Laina Brown seconded. Motion carried.
SECRETARY: Nick Baker
nominated Jim Barnes for the office of Secretary; Andrea Morris joining. There
being no other nominations, Clyde Warner moved that nominations close and that
a single unanimous vote be cast for Jim; Andrea Morris seconded. Motion
carried.
JUNIOR WARDEN: Corky
Sachs nominated Jamie Hendon for the office of Junior Warden; Jim Barnes
joining. There being no other nominations, Clyde Warner moved that nominations
close and that a single unanimous vote be cast for Jamie; Andrea Morris
seconded. Motion carried.
SENIOR
WARDEN: Jim Barnes nominated Downey Gray
for the office of Senior Warden; Nick Baker joining. There being no other
nominations, Clyde Warner moved that nominations close and that a single
unanimous vote be cast for Downey; Andrea Morris seconded. Motion carried.
Election to fill vacancy on Investment Advisory Committee,
2006-2009
The term of Kate Crawford having expired December 2005, Meg
Scharre moved that Sally Reisz be elected to a term on the Investment Advisory
Committee; Corky Sachs seconded. Motion carried. [In accordance with Section 5-e
of Article I of the By-Laws, four parishioners are elected to serve on the IAC
for four-year terms. The Wardens and the Treasurer are members because of their
office. The other members are Harvey Turner (2004-2007) and Jim Hill
(2005-2008). Jamie Hendon’s term (2003-2006) will expire during his term of
office as Junior Warden and no pro tempore member was elected.]
Election of Lay Deputies, Alternates and Youth
Representative to the 2006 Diocesan Convention
Clyde Warner moved that Jim Barnes, John Bugbee and Corky
Sachs be elected as Lay Deputies to the 2006 Diocesan Convention in February,
Tessa Long as Alternate Lay Deputy, and Tori Long as Youth Representative;
Andrea Morris seconded. Motion carried.
Committee Reports
Finance:
Andrea Morris presented
the financial statements through December 2005. Clyde Warner moved that the
report be accepted; Corky Sachs seconded. Motion carried.
Andrea presented the 2006
Budget for approval. Downey Gray moved that the Budget be approved subject to
the minor revisions pointed out; Corky Sachs seconded. Motion carried. Clyde
Warner asked for verification that the 2006 budget has no line item for major
maintenance and that any such costs will have to come from direct appeals, fund
raising and, if necessary, from the endowment and other sources. His
interpretation was confirmed.
For the edification of the
newly elected members of the vestry, it was pointed out that the Finance
Committee, whose function is to advise and to affirm the financial reports,
meets on the Thursday preceding vestry meetings. The next meeting is February 9
at 4:30pm.
Stewardship:
Downey
Gray read a letter from John Bugbee, chairperson of the 2006 Stewardship
Campaign, indicating that as of January 17 128 pledging units have responded
for a total of $280,808, or 53%, of the goal reached. Fr. Morris reported that
as of the beginning of the meeting, 129 units have now pledged totally
$284,268.
Carrie Frazier
asked where the goal of $500,000 had come from. The goal came from the total
expenses budgeted for 2005 with a percentage increase added. Some of the
shortfall will be made up from the endowment, unrestricted gifts, etc.;
however, much will have to come from fund raising projects and other direct
appeals of parishioners.
By-Laws/Insurance/Legal:
Nick Baker reported that
he was still working on the claim for the broken stained glass window. He also
noted that he would be looking for a vestry person to replace Sally Reisz on
the by-laws committee.
Worship:
Jim Barnes drew the
vestry’s attention to the January written staff report for Music. He reported
that the Worship Committee meets the first Tuesday of each month. The
committee, consisting of chairpersons of parish groups that serve at worship
services (Altar, Chalice, Lectors, Ushers, Greeters, etc.), reviews and
critiques past worship services, the immediate upcoming services and future
services. The next meeting of that committee is February 7. Fr. Morris reported
that Sunday attendance at services is between 190 and 200.
Christian Formation:
The vestry’s
attention was drawn to pages 18 & 19 of the Annual Report covering
Christian Formation programs. Fr. Morris reported that the confirmation and
discernment process begins February 5. The youth class will again serve lunch
at Wayside Mission, January 29. The spring program for youth classes, entitled Journey to Adulthood, is being
planned as well as a Rite 13 service on February 12. The Adult Forum begins a
series on Jesus and Paul January 22. This series will continue each week through February 26. The
Thursday evening book discussion begins January 26 with the book, The Meaning of Jesus: Two Visions.
Building, House and Grounds:
Clyde Warner reported on the progress of
maintenance projects, particularly that repairs to one of the window sills
damaged by weather has been completed and that the safety glass over the broken
stained glass window has been repaired but the Tiffany art glass itself is a
problem because of its age and the lack of the particular blue color needed.
Bloom Glass is handling the repairs. Clyde reported that there is a lot to be
done and that these are being done incrementally.
Outreach:
Jim Barnes drew the vestry’s attention to
the January written staff report for Outreach. He noted that he had spoken with
Sandy MacLean after the Annual Meeting relative to Sandy’s question regarding
the lack of outreach grants to seminaries, specifically the University of the
South at Sewanee. Jim indicated that seminaries have been in the outreach
grants mix before (both the University of the South and Seabury-Western) but
that these, being well endowed, were replaced with local agencies caring for
local needs.
Communication:
Meg Scharre drew the
vestry’s attention to the January written staff report for Communication. She
pointed out that the Connection is now a monthly publication and that noon on
the 20th of the month is the standing deadline for articles. The
Lenten Series will begin again soon. It was suggested that announcements about
this series be sent to the Diocesan Newsletter and to public radio. The Voice
was also mentioned as a possible placement for an announcement.
Parish Life:
Laina
Brown reported that some of the Parish Life committee chairs have been set for
this year: Foyer Groups, Sandra Cherry; Softball, Alex Redden; Parish Picnic,
Ginger Ray; Hospitality, Sally Reisz; and Breakfast, Laina Brown.
Junior Warden:
No
report at this time (Jamie Hendon having just been elected).
Senior Warden:
Downey
Gray distributed thank you notes from Ned Morris (Christmas gift) and Rhonda
Lee (the Prie Dieu kneeler). Downey reported that the vestry overnight retreat
is scheduled for January 27-28 at Wooded Glen Conference Center in Henryville,
Indiana. The Friday session begins at 5:00pm with dinner at 6:30. Adjournment
is Saturday at 3:00. Double occupancy rooms are $95 and single occupancy rooms
are $95. The general fund id paying for the costs, however anyone wishing to
contribute their share of the costs would be welcome.
Fr.
Morris reported that Confirmation and Bishop Gulick’s Annual Visitation is
scheduled for June 11. He also noted that a Lenten Quiet Morning will again be
held this year, Saturday, March 18 from 10-12:30pm.
Old Business:
Meg
Scharre reported that the Fund Raising projects have done well (the Cross,
Kroger cards, Cook Books, CDs, Yard Sale and E Bay) and other projects are
contemplated for 2006.
New Business:
Announcements:
Fr.
Morris reported on the ill of the parish and those who have died.
The next regularly scheduled meeting of the vestry is February 21,
5:15, Calvary Church with Downey Gray officiating Compline.
There being no further business, the meeting was adjourned at
6:55p.m. with Compline officiated by Fr. Morris.

Staff Reports
Outreach:
1.
Food Donations: As is the
custom, the January report to the vestry encompasses all of the food activity
of 2005, and may be found in the annual report booklet. A total of $28,717.00
value of food donations was given to Calvary in 2005 for our food bag
distribution, and we spent another $5,942.82 in food purchases to make sure
that the food bags we gave out were balanced. Total outreach giving topped the
$100,000 mark ($100,097.57) for almost the first time (it was $89,945.30 in 2004).
2.
Food Distribution: During 2005, we gave out 1,403 food bags that fed 2,311
people. We also thank the many volunteers who made our Thanksgiving project
happen. We gave out 153 turkeys and trimmings that fed 293 people.
3. Clothes
Shops for Men, Women and Kids: The number of people clothed through
the Calvary Clothes Closet continues to rise. In 2005, we again set a record
for clothing distribution - 826 people
received clothes ranging from gloves to shoes to jackets to dresses. We are
grateful for the many contributions that Calvary people make, for the clothing
is really special. We can only estimate the value of the clothing, but it is
well over $11,000.00. The need for warm clothing is especially great now, so
keep the jackets, scarves, gloves, hats, and coats coming, as well as anything
else. It goes without saying that the clothing needs to be in good condition.
4.
Cookbook, CD, and Breads: The Lenten Recital Series 2005 has been
documented with a CD, as well as a cookbook highlighting the recipes from
luncheons of the past years. Proceeds from the sale of these two items have
played a big part in the purchase of our new copy machine. A limited number of
copies will be available for the 2006 Lenten Series.
5.
Book Aid: Books continue to come in, and are well cared for by David Webb,
with advice from Timmons Owens. The delivery of children’s books came this past
week.
6.
Crisis Care (Outreach of sorts!) Crisis Care
organization is being looked at by Mother Lee. Let’s hope we can enlist many more
volunteers. Jean Dietz and Nancy Anderson are again on board with heading
crisis care. WE NEED MUCH MORE HELP AND CONSISTENCY WITH THIS!
7.
The Refugees: We are continuing to help in whatever ways we can with all
of the recent natural disasters.
8.
HABITAT: Jerry Lyndrup coordinated the 2005 house at 1113 Dixie Highway.
MUSIC: 1. Please refer to the annual report booklet for all of
the musical activities of 2005.We figure the adult choir sang for almost 60
services during 2005!
2. The Lenten Series of 2005 generated $1,592.75, and the CDs and
cookbooks brought in over $2,000. We are gearing up for the 2006 series, our
TWENTIETH ANNIVERSARY SERIES. It begins on March 8 and runs through April 5.
Volunteers are requested to cook, clean, and otherwise provide help. The
musicians are all lined up.
Communications:
1.
THE NEXT CALVARY
CONNECTION deadline is January 20. That is a Friday, THIS COMING FRIDAY. The
deadline is at NOON. You will remember that a change in policy, beginning last
October, means that the CONNECTION will now be a monthly publication. THAT
COMES QUICKLY! The deadline will always be the 20th of the month, no
exceptions. If the articles do not meet the deadline, they will be published
the next month. I really hope to stick to that, in fairness to all! The
Editorial Board now meets on the first Wednesday of the month. The new wardens
are expected to submit reports each month, as well as others on the vestry who
are responsible for programs or who know about newsworthy items.
2.
Calvary has a new logo. We are grateful to Andy Frazier for
creating the logo, and he promises us that he will find time to incorporate
that logo on the front of the CONNECTION. We are still waiting!
3.
Webmaster Jim Barnes continues to do a fantastic job of
updating and adding to the Calvary website. As of January 17, we have had
15,626 visitors to the website since March 31, 2003.
4.
THE PICTORIAL DIRECTORY IS HERE! Please procure your copy
